Overview

Fuel Cycle is seeking an Administrative Assistant to support two c-level executives and general administrative duties for the office. As the Administrative Assistant, you will be responsible for managing meeting calendars, coordinating travel, processing expense reports, and performing additional projects as needed. A successful candidate will be self-motivated, hands-on, flexible, and able to simultaneously manage diverse responsibilities with a strong emphasis on organization and attention to detail. This is a demanding and fast-moving role that requires someone who is able to exercise good judgment and take initiative to solve problems with minimal direction.

Responsibilities

  • Primary responsibility will be to maintain and manage CEO and COO’s appointment schedule by planning and scheduling meetings, conferences, and travel
  • Manages recurring meetings for executive team and Board of Directors
  • Coordinates logistics and catering for all onsite and offsite internal meetings
  • Processes and tracks expense reports and reimbursements through Concur
  • Manages relationship and acts as primary contact with travel partners and vendors
  • Primary contact for building management and facilities team, coordinates necessary repairs and necessary communication
  • Coordinates monthly parking for employees and parking validations with parking vendor
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies, placing orders and verifying receipt of supplies
  • Maintains kitchen organized and well stocked by managing weekly order of beverages and snacks, and monitoring inventory level
  • Responsible for receiving and distributing incoming mail and packages, coordinates shipment and pick-up of outgoing mail and packages
  • Support Finance Manager with bi-monthly check runs by scanning and mailing processed checks
  • Light bookkeeping and additional office duties as needed

Qualifications

  • Bachelor’s degree desired
  • 1+ years of experience in an administrative role supporting c-level executives
  • Ability to be discrete and maintain confidential information
  • Understanding of how to prioritize and respond accordingly
  • Ability to anticipate needs and generate potential alternative solutions to issues as they arise.
  • Self-motivated, flexible and organized
  • Team-player who operates in a fast-paced team-oriented setting and is enthusiastic about assisting others when needed
  • Excellent verbal and written communication skills
  • Proficiency in Excel, PowerPoint and Outlook is required
  • QuickBooks experience is a plus
